Description:
- Serve as the primary liaison between Operators, Maintenance, and Operations to ensure smooth daily workflow.
- Schedule Operators and Coaches according to bid runs, open runs, and charter assignments.
- Maintain and update operator schedules, verifying full coverage for all runs.
- Coordinate with Maintenance to confirm coach availability and status; update availability boards accordingly.
- Verify Hours of Service (HOS) compliance, Fit-for-Duty requirements, and perform visual inspections of operator credentials (license, medical card, logbook).
- Ensure operator availability for charters, line runs, and event runs.
- Arrange per diem allowances, hotel accommodations, and provide support for operators while on the road.
- Check in Operators across all assigned locations.
- Document attendance, tardiness, call-offs, and operator-related issues.
- Distribute work tickets before all runs and process data entry post-run; organize charter paperwork, work tickets, and logs by date in alphabetical order.
- Perform general administrative duties, including data entry, filing, and switchboard coverage.
- HOS, fuel, passenger count, mileage, and mileage report.
- Monitor phone calls; communicate with the manager on-call regarding any issues.
Requirements:
- Experience in the Charter bus industry is a plus!
- Knowledge of Microsoft Office suite.
- Excellent people skills and communicative skills.
- Knowledge of Safety rules and Federal & State Regulations for facilities and operators.
- Weekend work may be possible.
Education and/or Experience:
- Minimum 1 year of experience dispatching in the transportation industry or an equivalent combination of education and experience in the transportation industry.
- Preferred but not required: possession of a Commercial Driver’s License – CDL “B” with a “P” & Air Brake endorsement, plus any other endorsement needed to accomplish training of operators, or must qualify for the above certification within 6 months.
